A plain account of what information this site collects, why, and the choices you have.
Who this notice covers
This notice explains how personal information is handled when you use this website. It covers three groups: visitors to this website, people who join the Recognition Loops® prelaunch list, and people who make a therapy enquiry or register as a client.
The website is operated by Samantha Coleman, a therapist practising in Bristol, UK. You can reach me at samanthacoleman@recognitionloops.com about anything in this notice.
Website visitors
This website uses two strictly necessary hosting cookies, for security and for serving the current version of the site, one item of session storage that remembers your scroll position until you close the tab, and one item of local storage that remembers your analytics choice. If you accept analytics, it also sets two Google Analytics cookies. The Cookie Policy lists each with its purpose and duration. You can browse the site without telling me who you are.
With your consent only, the site uses Google Analytics 4, provided by Google, to count page visits and understand which pages are useful. It sets two cookies (_ga and _ga_<ID>, each lasting 2 years) and sends Google the page address, page title and general technical details such as device type and approximate location derived from your IP address. Names, email addresses, form answers and booking details are never sent. Google Analytics is set to keep event-level data (individual page views and events) for 2 months, and data linked to a returning visitor's identifier for 14 months; that 14-month period restarts whenever the same visitor returns. These settings apply to detailed data only. Most standard summary reports in Google Analytics are aggregated and are not removed by these retention settings. The legal basis is your consent, which you can withdraw at any time through Cookie settings at the bottom of every page. Nothing is loaded or sent unless you accept. The site uses no advertising technologies.
Booking takes place on a separate site, samanthacoleman.online, through the Amelia scheduling system; where payment is taken online, it is processed by Stripe, and your card details go directly to Stripe rather than to me. This site only links to that booking page and loads nothing from Amelia or Stripe. The registration and prelaunch forms are provided by Typeform. The site's typefaces load from Google Fonts, which shares your IP address with Google. When you use those services, their own privacy policies apply to the information they collect.
Prelaunch sign-ups
If you join the Recognition Loops® prelaunch list, I collect the details you give on the sign-up form — typically your name and email address — so I can tell you when the app launches and share occasional news about it.
You can ask to be removed from the list at any time by emailing samanthacoleman@recognitionloops.com, and your details will be deleted.
Therapy enquiries and registration
If you enquire about therapy or complete the new-client registration form, I collect the information you provide so I can respond to you, assess whether I am the right therapist for you, and arrange sessions.
The registration form asks about your health and personal circumstances. This is sensitive information. The separate Therapy Privacy Notice explains the providers who handle it, confidentiality, retention and your rights.
Please read the Therapy Privacy Notice before completing the registration form or booking therapy.
How your information is kept
Information is held only for as long as it is needed for the purpose it was collected. Therapy clinical records are kept for at least seven years after the last therapy session, or longer where required. The Therapy Privacy Notice explains the different periods for transcripts, working copies and other records.
Your rights
You have the right to ask what information I hold about you, to ask for it to be corrected or deleted, and to withdraw consent where consent is the basis for holding it. To exercise any of these rights, email samanthacoleman@recognitionloops.com.
If you are unhappy with how your information has been handled, you can complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
